Turning your service requests into automatic action

The four operational use cases from our call, shown the way they'd actually run against your setup: arrival alerts from your Motive GPS, an after-hours line that knows what's urgent, stakeholder notifications, and a clean handoff into COINS and your scheduling software.

▶  Try the live demo — chat, voice & service form
What this is: the real system, shown with sample data so you can click through it. Every flow below is exactly how it would run against your actual setup, your COINS backend and custom scheduling software, your Motive GPS, and your vehicle sign-in. The only step left to make it live is connecting it to those accounts, which we set up once you grant access. See the "Where it lives" tab for the full picture.
1

Arrival alerts

"Your technician is about 10 minutes out," fired automatically from truck GPS, no dispatcher needed.

2

After-hours triage

Capture the call, ask how urgent it is, and escalate critical 24/7-site issues to your Service Management Team.

3

Reach the real stakeholder

Notify the off-site site contact on arrival, pulled from your scheduling database.

4

Works with your systems

Push captured requests into COINS and your scheduling software by API. No need to switch platforms.

Live arrival alerts from your GPS

You already know where every truck is in Motive, and your team signs into their vehicle before each drive. This ties that to the job on your schedule and messages the customer and the off-site site contact the moment the truck is close.

"Feed the GPS tracking from our vehicles in… so it sends an automated call, SMS, or email — your technician is 10 minutes from site. That's difficult to do at scale currently." — Phillip, Sept 17

Watch the three steps light up as the truck moves — that's the behind-the-scenes workflow.

Job #SR-4471 · Site contact: from your scheduling database · Truck matched via vehicle sign-in · Location: Motive

How this connects: it reads truck location from your Motive account and the job from your custom scheduling software. It knows which truck is which because your team signs into their vehicle before each drive, and it pulls the site contact straight from your software's database, then messages the customer and that contact. "About 10 minutes out" is a distance/ETA calculation on our side. Today your Customer Care team sends the scheduling invites by hand; this same connection can automate those too.

An after-hours line that knows what's urgent

Right now after-hours calls route to your Service Management Team. This answers first, captures the details, asks how urgent it is, and for your 24/7 spaces it escalates straight to that team when it's critical, instead of waiting until morning.

"Ask the customer for level of urgency… and if the system were able to make an outbound call to one of Ford's own employees based on the response — that would be very useful." — Phillip, Sept 17

Works with the systems you already run

You don't have to move off COINS or your custom scheduling software. Everything the chat, voice, and forms capture can be handed to them over an API, the same way you already pull Motive data into your Power BI.

"It's not impossible we would move CRMs… but is there an API by which we could pull this into the database we already use?" — Phillip, Sept 17

Where everything lives

Short version: your data stays in your systems. What we add is a thin connector in the middle that reads what it needs, decides, and sends. It doesn't become a new home for your data, and there's nothing for your team to host.

On security: everything moves over encrypted connections, and the truck-location feed is signed so only your data reaches the connector. No new system for your team to log into, and nothing new to host.

What makes it live vs. this demo

Everything on this page behaves exactly like the real system, just running on sample data so you can click through it. To go live, we connect it to your Motive account and your scheduling software and confirm the site data. Nothing about how it works changes.

More you could do with this

You're already putting the platform in place for the service desk. Since it's there, here are other things it can do for you — grounded in what you already run across your 16 locations. Nothing to decide today; these are worth a closer look when you're ready.

🔔 Automatic appointment reminders

Your Customer Care team sends scheduling invites by hand today. The same connection can send and remind customers automatically, before every visit.

⭐ Review requests after a job

You have Google reviews across your locations. After a completed service, automatically invite the happy customer to leave one — more reviews help win commercial work.

📆 One place for social

You're active on LinkedIn, Instagram, and Facebook. Schedule and manage all of it, across every location, from one calendar — so your team posts once instead of channel by channel.

🔧 Proactive maintenance reminders

On your managed-services accounts, automatically remind clients when service is due and send status updates — so you stay ahead of issues and grow the recurring side.

↩️ Reconnect for the next refresh

AV systems get refreshed every few years. Reach past clients when it's time for an upgrade — turning decades of accounts into new projects.

🧠 An assistant that knows your work

Trained on your projects and product catalog, so your team gets fast answers — what was specced, what's compatible, what fits the room.

📥 One inbox for your team

Every customer text, email, and call in one place, so your people work faster without losing the personal relationship.

How to read this: these support your team, they don't replace the human relationship. Pick the ones that fit — we'd map them together in a short deep-dive, not price them today.
